Effective October 1, 2026. Last updated October 5, 2026. These terms are a binding agreement between you and JAI Bot. They apply to everyone who uses jaibot.ai: employers, job seekers and staffing agencies. By creating an account, checking the box to agree, or using JAI Bot, you agree to them. If you use JAI Bot for an organization, you agree on its behalf and confirm you have authority to do so.
1. Who we are
In these terms, “JAI Bot”, “we”, “us” and “our” mean the owner and operator of the JAI Bot service at jaibot.ai, including the JAI Bot website, apps, software, emails and related services (the “service”). “You” means the person or organization using the service.
2. The service
JAI Bot is hiring software. It helps employers post jobs, receive and organize applications, compare applications with job requirements, schedule and run interviews, collect interviewer scorecards, send offer letters for electronic signature, onboard new hires and review hiring reports. It helps job seekers find and apply for jobs, and it helps staffing agencies submit candidates to employers.
JAI Bot is a tool. We are not an employer, employment agency, staffing agency or consumer reporting agency. We do not make hiring decisions, and we are not a party to any job offer, employment relationship or agency agreement made through the service.
3. Accounts
You must be at least 16 years old, or older if the law where you live requires it, and able to form a binding contract.
Give accurate information and keep it up to date. You are responsible for activity in your account and for keeping access to your email and sign-in accounts secure.
Employer workspace owners are responsible for the team members they invite and the roles and permissions they give them, including any custom roles they create.
Tell us right away at contact@jaibot.ai if you believe your account has been used without permission.
4. Employer responsibilities
If you use JAI Bot as an employer, you agree that:
Jobs are real. You post only genuine, currently open positions that you are authorized to fill, with accurate details. No fake, misleading, commission-only-without-disclosure, pay-to-apply or “data collection” postings.
You make the decisions. Hiring decisions are yours. You will have a person review candidates and will not use JAI Bot as the only basis for rejecting anyone.
You follow employment law, including equal employment opportunity and anti-discrimination laws, pay transparency laws, and laws on the use of AI or automated tools in hiring (such as notice, bias-audit and accommodation requirements) that apply to you. JAI Bot provides notices, human-review controls and audit data to support this, but you remain responsible for compliance.
Background checks run through a provider of your choice, in your own account, and you are responsible for the Fair Credit Reporting Act (FCRA) and any state or local fair-chance requirements, including disclosure, authorization and adverse-action steps.
Candidate data is used only for recruiting, hiring and onboarding for your organization, kept confidential, and handled under applicable privacy laws. You will respond to candidate requests for access, deletion, human review or accommodation.
Offer letters and onboarding documents are your documents. Their terms, and any legal review of them, are your responsibility.
Messages you send through JAI Bot relate to hiring and follow applicable laws.
5. Job seeker responsibilities
Information you submit, including your resume and application answers, must be truthful and your own. You may not misrepresent your identity, qualifications or work history, or have another person or tool take part in an interview in your place.
Employers decide whether to interview or hire you. JAI Bot does not guarantee interviews, offers or employment.
If you join the Talent Network, employers can see an anonymous version of your profile. Your contact details are shared only if you agree.
6. Staffing agency responsibilities
Submit only candidates who have agreed to be represented by you for the specific job, and only to jobs that accept agency submissions or that you were invited to.
Rates, markups, payment terms, conversion terms and contracts you provide must be accurate. Your agreement with each employer is between you and that employer. JAI Bot is not a party to it and does not collect or guarantee placement fees.
Duplicate or disputed submissions are resolved between you and the employer.
Timesheets (optional paid add-on): JAI Bot records, calculates and routes hours for approval. It does not run payroll, pay workers, withhold taxes or bill your clients, and it is not the employer of any worker. Overtime is calculated from the rule you choose for each placement; you are responsible for choosing the rule that applies, checking totals, paying workers correctly under federal, state and local law, and keeping the records the law requires. Corrections you make are recorded with your reason. The add-on is billed monthly until you cancel.
Timekeeping for employers (optional paid add-on): employees enter their hours and the managers you name approve them. JAI Bot records, calculates and routes hours for approval; it does not run payroll, pay employees or withhold taxes, and it is not the employer of anyone. Overtime is calculated from the rule you choose for each employee (for example, “No overtime” for exempt employees); you are responsible for classifying employees correctly, choosing the rule that applies, checking totals, paying correctly under the Fair Labor Standards Act and state and local law, and keeping the records the law requires. Corrections and approvals are recorded with who made them and when. The free trial lasts 14 days; after that, the add-on is billed monthly at a flat price until you cancel.
Keep candidate lists you add or import accurate, have the candidate’s agreement to keep their information, and remove it when they ask.
7. AI results
JAI Bot uses AI to compare applications with job requirements, flag items to verify, and suggest interview questions. AI output can be incomplete or wrong. It is guidance for a human reviewer, not a decision, and it should be checked before you rely on it. If AI grading is unavailable, JAI Bot may show a clearly labelled provisional result from a rules-based method. See How JAI Bot uses AI.
8. Plans and billing
Some features are free. Others require a paid plan, which is described in the product before you buy.
Paid plans are billed in advance through Stripe and renew automatically each billing period until cancelled. You can cancel at any time, and cancellation takes effect at the end of the current period.
Fees are non-refundable except where required by law or stated otherwise in writing.
We may change prices with at least 30 days’ notice. The new price applies from your next billing period.
You are responsible for any applicable taxes.
Plans described as having no monthly report limit are for your organization’s own hiring and are subject to fair use. To keep the service fast and reliable for everyone, we may schedule unusually high volumes of full candidate reports to run over more than one day. Reselling screening to third parties requires a separate agreement.
9. Acceptable use
You may not:
Use JAI Bot to discriminate unlawfully, or to screen candidates based on protected characteristics.
Upload content you do not have the right to share, or content that is unlawful, harassing or malicious.
Scrape, crawl, copy or harvest profiles, jobs, reports or contact details, by automated means or otherwise, or use the service to send spam.
Try to access accounts or data that are not yours, probe, test or bypass security or usage limits, or interfere with the service.
Insert hidden instructions into documents to manipulate AI results.
Resell, sublicense or provide the service to others without our written permission.
Do anything prohibited in section 12 (Our intellectual property).
10. Your content
You keep ownership of the content you submit, such as job descriptions, resumes, notes and documents (“your content”).
You give JAI Bot a non-exclusive, worldwide, royalty-free permission to host, copy, process, transmit and display your content as needed to provide, secure and support the service for you and for the people you choose to share it with, as described in our Privacy Policy. This permission ends when your content is deleted from the service, except for copies we must keep by law or that remain for a limited time in backups.
You confirm you have the rights and any notices or consents needed to submit your content.
11. Service data and feedback
We collect information about how the service is used and performs, such as feature usage, timing, errors and security events, grading results, and reviewer feedback on grades (for example when a reviewer agrees with or changes a grade).
We may use this information, and information derived from your content, in aggregated or de-identified form, combined with information from other users, to operate, secure, maintain, improve and develop JAI Bot, including its grading and matching methods. Aggregated or de-identified data does not identify you, your organization or any individual applicant, we will not attempt to re-identify it, and we own it.
Automated learning. JAI Bot’s built-in grader learns from de-identified grading results as described in How JAI Bot’s grader learns. It does not use personal identifiers, voluntary self-identification answers (other than in aggregate fairness checks) or hiring decisions, and learned changes are tested for accuracy and fairness before they affect any grade. Employers can ask us to exclude their organization’s results from learning by emailing contact@jaibot.ai; this does not change how their applicants are graded. Grades remain recommendations, and the employer remains responsible for its hiring decisions.
This does not change our privacy commitments: we do not sell personal information, we do not use applicant documents to train third-party AI models, and data we receive from Google APIs is used only as described in our Privacy Policy.
Agency rates. Bill rates, pay rates and markups that agencies submit are shared with the employer receiving the submission. Other agencies may see them only combined into ranges for similar jobs (from at least 5 submissions by at least 3 agencies), never individually or with the agency’s name.
If you send us ideas, suggestions or other feedback, we may use them freely without obligation to you.
12. Our intellectual property
The service, including its software, source and object code, grading, ranking and matching methods, workflows, reports, designs, interface, mascot, content and documentation, is owned by JAI Bot and protected by copyright, patent, trademark, trade secret and other laws. Subject to these terms, we give you a limited, non-exclusive, non-transferable, revocable right to use the service for your own hiring, job seeking or agency work while your account is in good standing. We reserve all rights not expressly granted.
You may not, and may not help anyone else to:
copy, reproduce, modify, translate or create derivative works of the service or any part of it;
decompile, disassemble or reverse engineer the service, or try to discover its source code, models, prompts, scoring rules or underlying methods, except to the extent the law expressly allows despite this limit;
use the service, its outputs, reports, scores or performance information to build, train, fine-tune, benchmark or improve a competing product, service or AI model, or publish benchmark or comparison results without our written permission;
access the service to monitor its availability, performance or functionality for competitive purposes, or to copy its features, workflows or look and feel;
remove, hide or change any copyright, trademark, “Patent Pending” or other proprietary notice.
Notices. JAI Bot™ and the JAI Bot mascot and logo are trademarks of JAI Bot. The JAI Bot software is protected by copyright. Aspects of the service are the subject of pending U.S. patent applications (Patent Pending). Nothing in these terms gives you any right to use our names, logos or trademarks.
13. Confidentiality
Non-public information about JAI Bot that you receive or can see because you have an account, such as unreleased features, non-public documentation, pricing offered only to you, and how the service grades, ranks or matches, is our confidential information. You will keep it confidential, use it only to use the service, and share it only with your team members who need it and are bound by similar duties of confidentiality, or when the law requires it. These duties continue for as long as the information remains confidential. Information that is public through no fault of yours is not confidential.
14. Support access and job-board moderation
JAI Bot may review account information and public content, such as job postings, to operate the service, enforce these terms and keep the job board safe. This includes removing postings and pausing accounts that break these terms. JAI Bot staff look inside the contents of your account only with your permission through support access, except where needed for security, to prevent fraud or abuse, or when the law requires it. Every support visit is recorded and shown to you.
15. Electronic signatures and records
You agree that documents you sign through JAI Bot, such as offer letters and onboarding forms, and your agreement to these terms, can be signed and delivered electronically, and that an electronic signature or a checked “I agree” box has the same effect as a handwritten signature. JAI Bot keeps a record of each signature and agreement (name or email, time, IP address, browser and, for documents, a document fingerprint).
16. Other services
JAI Bot connects with other services you choose to use, such as Google, Stripe and background-check providers. Your use of those services is governed by their own terms, and we are not responsible for them.
17. Suspension and ending your account
You can stop using JAI Bot and close your account at any time. We may suspend or end access if you break these terms, create risk or legal exposure for others or for us, or if required by law. Where reasonable, we will give notice and a chance to export your data. Sections that by their nature should continue (such as service data, intellectual property, confidentiality, disclaimers, liability limits, indemnity and governing law) survive after an account ends.
18. Disclaimers
JAI Bot is provided “as is” and “as available”. To the fullest extent allowed by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not guarantee that the service will be uninterrupted or error-free, that any candidate is qualified or truthful, or that any job or hiring outcome will result.
19. Limitation of liability
To the fullest extent allowed by law, JAI Bot will not be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill. JAI Bot’s total liability for all claims relating to the service is limited to the greater of the amount you paid JAI Bot in the 12 months before the claim or US $100. Some places do not allow these limits, so they may not fully apply to you.
20. Indemnity
If you use JAI Bot as an employer or staffing agency, you will defend and hold JAI Bot harmless from claims arising from your job postings, your hiring or placement decisions, your content, or your breach of these terms or of the law.
21. Governing law and disputes
These terms and any dispute relating to them or to the service are governed by the laws of the State of Texas and applicable U.S. federal law, without regard to conflict-of-law rules. Any lawsuit must be brought only in the state courts located in Denton County, Texas, or the United States District Court for the Eastern District of Texas, and you and JAI Bot consent to the personal jurisdiction of those courts. Either party may still ask any court with jurisdiction for an injunction or other urgent relief to protect its intellectual property or confidential information. If you are a consumer and the law where you live gives you the right to bring a claim in your local courts or under your local law, nothing in this section takes that right away.
22. Changes to these terms
We may update these terms. We will change the effective date above and, for significant changes, notify account holders by email or in the product, and may ask you to agree again, before they take effect. Continuing to use JAI Bot after changes take effect means you accept them.
23. General
If any part of these terms cannot be enforced, the rest remains in effect. Not enforcing a term is not a waiver. You may not transfer these terms without our consent; we may transfer them to a successor owner of the service. These terms and our Privacy Policy are the entire agreement between you and JAI Bot about the service, unless you have a separate signed agreement with us, which controls where it conflicts.
